Reports & Scheduling

The reports tab displays all your saved table reports. You will be able to enqueue individual reports and create schedules to be able to run reports at a time of your choosing.

Report List

Your table reports will be listed on the left hand side of the page.

You can click on any table name to open that saved table and the table type column will show you want type of table each one is.

Enqueue Individual Reports

Click the enqueue icon, in order to add the specified saved table to a queue to be generated. You will get a message to tell you that you report has been enqueued.

Creating a Schedule

To create a new schedule you must first choose your saved table to be scheduled. Click the schedule icon icon, to add tables to a schedule. They will then appear on the right hand side of page, you can remove them from a schedule by clicking on the delete icon.

Once you have chosen the reports that you want to schedule to run you will need to choose when you want them to be run. You have the following options:

  • On demand
  • Daily
  • Weekly
  • Monthly
  • On Demand

On Demand

This option means that there is no specific time or frequency attached to this schedule, ie if you have a batch of reports that you don't always need to be generated at a specific time but are run on an ad-hoc basis.

Daily

Choose this option if you want your batch of reports to be scheduled to run every day. Choose the time that you want them to be run on the right hand side.

Please note that all times are in UK local time. The scheduled time is when the batch of reports is added to the queue and it might take some time to generate them, particularly for large reports.

Weekly

Select weekly if you need your batch of reports to run weekly. First select the time you want them to run and tick the boxes next to the days of the week you want them to run. For example, if I want my batch or reports to run every Monday, Wednesday and Friday at 8am, select 8:00 from the time and tick the appropriate days.

Monthly

This option allows you to choose a specific day of the month to run your batch or reports, for example if you always need some reports generating at the start or end of the month.

Please note that if you choose the 31st, it will run your batch on the 1st of the following month if the month does not end on the 31st.

Save Table Options

You have two options for how you want to save your scheduled reports.

  • New table name - the original table is kept and a new version is produced with updated content. The new table will have the same save name but with a timestamp, e.g. Example Report 2011-02-17. Use this option if you want to keep different versions of the original report.
  • Original table name - this will update the table contents and replace your original report. Use this option if you only need to have one version of your report but want the contents updated each time it is run.

Saving a Schedule

Once you have added the table reports you want to your schedule, chosen the frequency and the save options then click the save icon, and the save dialog box will open.

Enter a schedule name and click Save. You can also assign a contact or add notes to your schedule.

Please note that schedules will always be private to your login.

Your schedule is now saved and in the frequency section it will display when the schedule is next due to run and when it was last run.

Loading a Schedule

To load a schedule click the load icon and select the schedule you want to view from your list of saved schedules.

To clear the current schedule click the new schedule icon, and you will be able to create a completely new schedule from scratch.
